Mission of the chair of the appointment panel
- Ensure that the delegation member is present at all of the panel’s meetings.
- Ensure that the delegation member receives all the documents about the appointment panel, including interim and final reports.
- Remind the members of the panel of Articles 99.3 and 99.4 of the AV¶ÌÊÓÆµ Personnel Regulations as well as the directive stipulating that 30% of the people on the shortlist must be women, and make sure the panel applies these rules (cf. pp 77–79).
- Draw up a shortlist of candidates, making sure that 30% of them are women (cf. pp 78–79).
- Write a report and consult the delegation member on the report.
- Send the final report to the Dean and to the delegation member.

Mission of the Equality Office
- Assign a delegation member to every appointment procedure for assistant, associate or full professors (members never work in their own faculty).
- Coordinate the monitoring of appointment procedures with HR and the faculties.
- Give the chosen member’s name to the Dean of the relevant faculty.
- Organise and participate in delegation meetings (attended by members, Vice Rector, head of the Equality Office and project manager).
- Monitor appointment panels’ work and issues related to the members’ work.
- Submit the reports to the rectorate.

Mission of the equality delegation
- Provide members of appointment panels with information on respecting equality, and raise their awareness of this issue.
- Ensure compliance with the rule of preference (AV¶ÌÊÓÆµ Act Article 13.3) and Articles 99.3 and 99.4 of the Personnel Regulations (cf. pp 76–77).
- Ensure that all applications are treated equally.
- Make sure that there are equal opportunities for men and women.
- Ensure that the rectorate’s directives on appointment procedures are applied (30% on shortlist) (cf. pp 78–79).
- Write and send a letter to the Dean stating whether or not the procedure complied with the regulations and provide the rectorate with a detailed report.
